The summary of findings
A template report opens with the items that need attention, so your client sees them first. You don't build this list by hand — it comes from what you capture. Here is what puts an item on it, and how serious it's marked.
What it looks like
In the web report, Summary of findings sits above the sections, grouped safety first:
- Safety concernsA hazard to people
- Repairs recommendedNeeds fixing
- Monitor or maintainWatch it, or look after it
Each item names its section and links to it, where the photos and notes are.
In the PDF, the same items are listed on a Deficiency Summary page before the sections, with the answer beside each one where there is one.
Freestyle reports don't have this list; their summary is written from your notes.
What puts an item there
You mark it Deficient. In a section, press and hold a field and choose Deficient ⚠.
A poor rating. Answers such as Poor, Defective, Major, Critical, Severe, Damaged, Urgent, Not ready or Out of service.
An answer that is itself a finding. Many templates know that some answers are problems — Smoke alarms present: No, for example. On a multiple-choice question, ticking any flagged option counts.
A comment with a severity. A comment from your comment library that has a severity joins the list under its own title.
A failed check. In a scored checklist, a check that didn't get full marks is a finding.
How severity is set
- Flagged answers carry the severity the template gives them.
- Poor ratings are Safety if the item is about a hazard — smoke or CO alarms, electrical, gas, stairs and railings, for example — and Repair otherwise.
- Items you mark Deficient are Repair.
- Comments keep the severity you gave them: Safety, Repair or Monitor.
- Checks that got partial marks are Monitor.
What stays off the list
- A section marked Not Present. Nothing in it is listed.
- A section you turned off for this walk — it isn't in the report at all.
- Questions that didn't apply because of an earlier answer.
- Not Inspected. Marking an item Not Inspected says so in its section, but it isn't a finding.
To take an item off the list, change the answer, or press and hold the field and choose Clear mark. Then generate the report again — or, for a web link, just reload it.
Build a repair request (web report)
In the web report, your client can tap Build a repair request, tick the items they want fixed (or Tick all safety items), then Copy the list or Print or save as PDF. They get a one-page numbered list to pass on.
The same list is what a re-inspection checks, one item at a time.
